If you’ve sent an email to a prospect and it’s being returned, there are several potential reasons for this. At DeepSales, we strive to keep our contact information as accurate and up-to-date as possible. However, there are a few factors that could cause your emails to bounce back.

1. Contact Categorization:

DeepSales organizes contacts into three categories to ensure data accuracy:

  • Guessed Contacts: These are contacts where the email address is inferred based on available data. While we use sophisticated algorithms to guess these emails, they might not always be accurate.

  • Verified Contacts: These are contacts whose email addresses have been confirmed as accurate and currently active.

  • User-Managed Contacts: These contacts are added and managed by users like you. The accuracy of these emails depends on the user-entered data.

If your email is bouncing back, it could be because the email address falls into the "Guessed" category and was incorrect. Alternatively, the email may have been accurate at one point but has since become outdated due to changes in the prospect's contact information.

2. Utilizing Email Status Filters:

To improve the effectiveness of your outreach, you can use the "Email Status" filter within DeepSales. This allows you to filter and segment your contacts based on their email status. By selecting values such as Guessed, Verified, and User-Managed, you can narrow down the contacts you wish to target and reduce the likelihood of emails being returned.

3. Email Server Rejections:

Some email servers are configured to block emails from unrecognized or potentially suspicious sources. This can happen even if the email address is correct but the receiving server has strict security protocols in place. In such cases, it’s beneficial to ensure that your email domain is properly configured, including settings like SPF, DKIM, and DMARC, to help improve email deliverability and reduce the chances of being flagged as spam.

What to Do If Your Email Is Returned

If you receive a bounced email notification, consider the following steps:

  • Check the Contact's Status: Verify whether the contact is categorized as Guessed, Verified, or User-Managed. If it's a Guessed contact, try to find an alternative verified email or reach out to the prospect through another communication channel.

  • Review Email Deliverability: Ensure that your email domain is set up correctly to avoid being marked as spam by the recipient’s email server. This includes ensuring proper email authentication settings.

  • Update Contact Information: If the contact is User-Managed, make sure that their information is up to date. Regularly updating and verifying contact details can prevent similar issues in the future.

By taking these steps, you can improve the likelihood of successful email communication with your prospects.
